Where the Chemistry Happens… As an Administrative Assistant, you will provide essential administrative/clerical support to the TES Department (Engineering, Maintenance, Stores and Site Services). Responsibilities include performing critical duties in SAP, support in requisition, purchase order and invoice issues problem solving, creating/updating reports and backup activities for stores and site services.   • Enter QA Calibration and Mechanical Integrity test and inspection results into databases
  • Update revisions to departmental programs as outlined by program owner/SME
  • Mail/Fedex: Daily p/u from Security, distribute, open and sort mail, deliver outgoing mail to security
  • Replace updated catalogs, prepare files for off-site storage, and scan/archive electronically capital project files
  • Reconcile and File - vendor service tickets (Cintas, Cardinal, etc.) documenting info in spreadsheets where necessary
  • Contact service providers to schedule work as directed
  • Provide storeroom backup, including accepting deliveries, SAP transactions, and storing material in locations
  • Perform research to identify vendor for stock items
  • Aid in problem solving for requisition, purchase order and invoice issues
  • PCard/Sm Mtg Card – track receipt of cardholder statements, aid in monthly p-card audits, maintain cardholder statement files
  • Process free issue invoices and free issue change requests (add/delete/change)
  • Process work cycles for completed services
  • Track contractor competitive quotes, notify controller of contractor accruals, and scan contractor observations.
  • Collect information and create monthly reports for TES department, including KPIs and contractor hours report

Qualifications - BASF recognizes institutions of Higher Education which are accredited by the Council for Higher Education Accreditation or equivalent

Ingredients for Success: What We Look For in You… Basic qualifications:

  • High school diploma and 10+ of experience in a clerical/ administrative position
  • 10+ years of experience working in a technical (engineering) environment
  • Microsoft office suite products
  • Track record in working efficiently and accurately in a detailed, time sensitive environment

Preferred Qualifications:

  • Associates degree
